Access to Records

University policy grants access by students to their education records under conditions which conform to the Family Education Rights and Privacy Act of 1974 as amended. This policy is regulated by the appropriate federal guidelines.

Students can also assign access of academic and financial information to those they designate by assigning a PIN to those specific individuals.  Assigning PINs can be completed in mySVSU by navigating to Self Service (Cardinal Direct)→Students→Communication→ Personal Information Release.

Directory information is information that the university may release but is not reqiured to do so. may be published or released unless a student informs the Registrar's Office in writing before the first day of classes that any or all items should not be released without prior consent of the student. SVSU defines directory information is defined to include student's name, address, telephone listing, e-mail, date and place of birth, major field of study, academic college, enrollment status (full or part-time), class level (e.g., freshman, sophomore, etc.),  participation in officially recognized activities and sports, weight and height of members of athletic teams, date of attendance, degree and honors/awards received, and the most recent previous institution attended by the student. SVSU student ID numbers are not directory information and are protected under FERPA unless waived by the student. 

Students should consider very carefully the consequences of any decision aks the university to withhold any category of directory information. If a request not to release any or all directory information is made, and it must be made in writing to the Office of the Registrar, any future request(s) for such information from non-institutional persons or organizations will be refused. The university assumes that if a student does not specifically request that directory information not be disclosed, then this constitutes permission for disclosure.

The University will honor a written request to withhold any of the directory information to the end of August of the current academic year, but cannot assume responsibility to contact the student for subsequent permission to release them. Regardless of the effect upon the student, the University assumes no liability for honoring written instructions provided by the student that such information be withheld.

Student records are the property of the university, including all such documents submitted to SVSU by other educational institutions and agencies. In addition, as a matter of policy, the Office of the Registrar does not release unofficial transcripts, including transcripts sent to SVSU by other institutions--such requests are likley to be denied. However, students may request copies of specified documents in their reocrds by making such a request in writing to the Office of the Registrar and by presenting a form of official identification that will be photocopied and filed by Registrar staff. The university reserves discretion to reject such requests.  Requests will be denied if the student owes money to the university, but denials are not limited to this reason.
